AI Transcription and Session Summaries

What is AI transcription?

Instead of taking notes during the session, the system transcribes the conversation and produces a draft summary for the patient record. You focus on the patient, and afterwards you go over the text, correct it and save it. Transcription is set up for conversations in Hebrew. The feature is available on the Premium plan only.

Two ways to transcribe

• Live recording in a session. On the medical records page you choose a patient and an appointment and press "Record Session", and the system records through the browser microphone. Silence is skipped automatically and only speech is recorded, and a long recording is split into short segments and transcribed segment by segment. Chrome or Firefox is recommended for recording.
• Built-in video session. A session held over the built-in video and recorded is transcribed automatically into a draft when the recording is ready. You can also press "Transcribe" in the medical records. This applies to the built-in video only and not to sessions run on Google Meet or Zoom. See the video appointments guide.

Where the text goes

After transcription you choose where to send it

• Treatment summary (SOAP), produced by pressing "Summarize Session"
• Referral, that is a referral letter worded from the transcript
• Internal form, where the system fills in the fields from the transcript, marks fields it could not identify with certainty, and asks you to confirm before saving

You can edit the summary, and it enters the record only after you press "Save to Patient Record". Until then the transcript stays a draft waiting for approval, and you can also delete it.

Adapting the summary to your field

In Settings, under "AI summary settings", you can edit the instructions by which the summary is written. There are ready-made templates by field, such as Chinese medicine, psychology and counselling, physiotherapy, nutrition, occupational therapy, naturopathy, coaching and reflexology, and you can restore the default at any time.

Privacy and security

Transcripts and summaries are stored encrypted. The audio is transcribed by an external service from OpenAI, and the summary is worded by a language model from the same company, so every such transfer is written to a system log for transparency. It is advisable to inform the patient and obtain their consent before recording.

Limits to know

You can run up to 60 transcriptions a month, and the counter resets at the start of each month. When a recording is unclear, the system may reject an unreliable transcript and ask you to record again. The transcript and summary are produced by artificial intelligence and may contain mistakes in names, professional terms and unclear speech, so always go over the draft before saving.

What it looks like in practice

1. Go to the medical records and choose a patient and an appointment.
2. Press "Record Session" and run the session as usual.
3. Press "Stop recording" and wait a few moments for the transcript.
4. Choose where to send the text, summarize, read and correct.
5. Save it to the patient record.

Frequently asked questions

Do I need an appointment in order to record? Yes, the recording is linked to an appointment and a patient.

Is the transcript accurate? It suits a clear conversation, but no automatic transcript is perfect. That is why only what you approved enters the record.
