Video Appointments: How to Run Online Sessions with Patients

How to run video appointments with patients: three ways to set up video, when a patient can join, the waiting room and what to do when joining fails.

In short: for each treatment type you choose how the video meeting takes place: built-in video, Google Meet or your own fixed link. The patient receives a link and joins from the browser, with nothing to install, from 10 minutes before the appointment starts until 30 minutes after it ends. Only a confirmed appointment can be joined.

Three ways to run video

  • Built-in video — a private video room created automatically for every appointment, inside the system. Available on the Premium plan.
  • Google Meet — a Meet link is generated automatically from your calendar. Requires a connected Google Calendar (Professional plan).
  • Your own fixed link — paste a permanent Zoom or Meet link onto the treatment type. Works on any paid plan.

How to set it up

Go to Treatment Types, pick a treatment type, and choose one of the three options in the video field. From then on, every appointment of that type includes a video meeting.

How the patient joins

The patient gets a link by WhatsApp, SMS, or email (per their preferences). It opens in the browser — nothing to install. The join window opens 10 minutes before the appointment and closes 30 minutes after it ends, to protect privacy.

Recording and transcription

With built-in video (Premium) you can record the session in one click and get an automatic AI transcript and summary in the patient's record. Recording is always started by the practitioner.

What happens on the day

  1. The patient receives a link to join by SMS or email, according to their preferences. The email notes that the link opens in the browser and that you need to allow access to the camera and microphone.
  2. With the join button they enter the meeting. With Google Meet and with a fixed link the call opens in an outside window.
  3. In built-in video, a patient who arrives before the practitioner waits in a waiting room with a preview of the camera and microphone, and is admitted automatically as soon as the practitioner joins.
  4. In built-in video the practitioner sees a reminder to press the record button at the bottom of the screen, to get an automatic transcript.

Frequently asked questions

Why can the patient not join? There are three possible reasons: they are trying more than 10 minutes before the appointment starts, the join window has already closed, or the appointment has not been approved yet.

Can I use Google Meet without connecting a calendar? No. The Meet link is created from an event in Google Calendar, so an active calendar connection is required. See Google Calendar sync.

What happens when I cancel a video appointment? The event in Google Calendar is deleted and the video room is closed. This cannot be undone.

What about recording and transcription? They are available in built-in video and start only at the practitioner initiative. See AI transcription and session summaries.
