Patient Marketing Campaigns: How to Win Patients Back and Fill Your Calendar

How to send an SMS, email or WhatsApp campaign to your patients: building an audience, consent and anti-spam law, what the patient receives and how to track it.

In short: a campaign is a proactive message to a group of patients you choose, by SMS, email or WhatsApp. You send only to patients who gave marketing consent or who fall under the existing customer exemption and have not opted out. Campaigns are available on the Professional plan, up to 500 recipients a day per campaign.

What are campaigns?

Sending a proactive message to a group of patients — a seasonal offer, a win-back to inactive patients, or an update. The message goes out by SMS, email, or WhatsApp.

A targeted audience

Build the audience from your own patients, filtered by: patients who have not visited in X days, treatment type, visit type, and location. That way the message reaches the people it is relevant to.

Anti-spam compliance

Two lawful ways to reach patients: those who gave marketing consent, or the "existing customer" exemption (Section 30a) — patients with treatment history who have not opted out. Emails carry an unsubscribe link and a preferences link, and anyone who opts out receives nothing more on any channel. Legal responsibility for using the exemption rests with the practitioner.

Personalised messages

Merge fields insert details automatically: first name, full name, practitioner name, clinic name, and a booking link. WhatsApp uses pre-approved templates.

How to send

Go to Campaigns, create a campaign, choose channels, audience, and text, then schedule or send. Available on the Professional plan, up to 500 recipients per day.

How to build a campaign

  1. Create a new campaign and give it a name.
  2. Choose an audience: patients who have not visited for a number of days you set, treatment types, locations and visit type (clinic, home or night).
  3. Click preview audience, which shows how many patients with marketing consent will be included.
  4. Write the content, or start from one of the six ready-made templates.
  5. Send now or schedule for a date. If you leave the schedule field empty, the campaign is sent immediately.

Consent and anti-spam law

A patient is included in the audience if you marked on their card that they consented to receive marketing messages. You can also turn on the option to include existing customers, under section 30a, which adds patients who already had an appointment and have not asked to be removed. Another option is to confirm that all your patients are existing customers, meaning you treated them before joining the system. Legal responsibility for using the exemption is yours. The interface also reminds you of the labelling rules: an SMS starts with the word for advertisement, and an email subject starts with the same word followed by a colon. What the patient receives on each channel

  • SMS — the text you wrote, with a link to manage preferences below it. It is best to stay within 160 characters.
  • Email — the subject and body you wrote, styled with your clinic colours, with a link to unsubscribe and a link to manage preferences.
  • WhatsApp — a template approved in advance by Meta. Only approved marketing templates are offered, and operational templates such as appointment confirmation are managed separately under Management → Templates.

Merge fields work in Hebrew and in English, for example {שם פרטי} or {firstName}.

Sending and tracking

The system sends in batches of 50 recipients. Up to 500 recipients a day per campaign, and if the audience is larger the sending continues in the following runs. The campaign page shows for each recipient whether the message was sent, failed, is pending or was skipped. A recipient with no phone or email for the chosen channel, and anyone who opted out, is marked as skipped. You can remove a recipient from the campaign, cancel a campaign, or run it again. Running again creates a new campaign with the same settings and sends it immediately.

Frequently asked questions

How do I send only to patients who gave explicit consent? Leave the option to include existing customers turned off. The preview will show only patients with marketing consent.

What happens to a patient who opted out? The opt-out takes effect immediately, and the patient is skipped in later campaigns.
