Treatment Cards: How to Manage Packages and Subscriptions Easily

How Tipulim treatment cards work. Set up a package, deduct automatically when a patient books, restore on cancellation and track the balance.

What is a treatment card?

A treatment card is a package of several treatments that the patient pays for in advance, usually at a lower price than a single treatment. In Tipulim you define the package once, and the system deducts one treatment from the card every time a patient books an appointment that the card covers. There is no need to punch cards by hand or remember how many treatments are left. Treatment cards are available on the Professional and Premium plans.

How to define a card type

Under Treatment cards in the menu you create a new type and set

  • a name, for example "10-treatment package"
  • the number of treatments in the package
  • the price
  • which treatment types the card covers
  • the display order, and whether it is active

A type marked inactive is no longer offered to patients. A type that has already been issued to patients cannot be deleted, but it can be deactivated. Treatment types themselves are set up as in the system settings guide.

How a patient gets a card

There are two ways. The patient can buy a card on their own from their personal area, paying through the payment provider you connected (see the payment providers guide). Or you issue a card manually from the patient record, choosing a type, a number of treatments and an issue date, and you can add an expiry date, a note and a price different from the list price.

What happens when a patient books

When a patient with an active card books a confirmed appointment of a type the card covers, the system deducts one treatment and records the payment as a treatment card payment of 0 ₪. If the patient has several matching cards, the one with the fewest treatments left is used first. An appointment that is waiting for your approval is not deducted yet. In their personal area the patient sees how many treatments remain on each card, and the expiry date if you set one.

Cancelling an appointment paid by card

When a patient cancels early enough under the cancellation policy you defined, the treatment goes back to the same card that paid for the appointment. If you chose that a cancellation does not entitle a refund, the treatment is not returned. You can also correct the balance manually in the patient record at any time, for example when you cancel an appointment yourself.

How to price and build a package

To set a price, work out the price of a single treatment and how much of a discount you are willing to give for a commitment in advance. A small, clear package, for example 5 or 10 treatments, is easier to explain and sell than a large one. You can combine several treatment types in one card, for example a regular treatment and a short one, so the patient does not have to choose in advance. And when the patient pays at the start of the package, the money comes in up front and less time goes on collecting payment at each visit.

Tracking the balance

In the patient record you see all of the patient's cards, with the balance, the issue date and the expiry. That makes it easy to spot who is close to finishing and to offer a renewal in good time.

Frequently asked questions

Does a card expire? You can record an expiry date, and it is shown to the patient and to you. Note that the system does not block a deduction after that date, so the date serves as a record and a reminder.

What happens when the card runs out? It is shown as used up, and the patient's next appointments are charged as usual. You can offer them a new card.

Can I correct the number of treatments? Yes, in the patient record.
